About the role
We are seeking an experienced Service Coordinator / Administration Officer with previous HVAC / building services industry experience to support a busy service and maintenance operation. This role provides critical administrative and coordination support across the business, including relief coverage within the Service Division when required.
This position is well suited to someone who understands how HVAC service environments operate — including reactive works, preventative maintenance schedules, technicians, subcontractors and client expectations — and can confidently step in to keep things moving.

Key Responsibilities
Service Coordination
- Provide relief support to the HVAC Service Division as required
- Schedule PPM and reactive service works
- Liaise with clients regarding attendance and job progress
- Manage service calls, emails, quoting and material orders
- Process service reports, timesheets, expenses and assist with invoicing
- Maintain subcontractor compliance and WHS documentation
- Manage vehicle registrations, servicing and insurance claims
- Issue and report on fuel cards and e-tags
- Procure, track and maintain IT equipment and asset registers
- Coordinate new starter onboarding and inductions
- Manage uniforms, PPE, work boots and stock levels
- Support apprenticeship administration
- Maintain records, documentation and systems
- Assist accounts and business administration teams as required
About You
- Proven experience in the HVAC / mechanical services or building services industry
- Previous experience in administration, service coordination or a similar operational role
- Strong understanding of service workflows, technicians, subcontractors and job scheduling
- Highly organised with strong attention to detail
- Confident communicator with a professional phone manner
- Comfortable managing multiple priorities in a fast-paced environment
- Experience using Simpro or similar job management systems highly regarded
- Stable, long-term role within a well-established HVAC service environment
- Varied position with exposure across service, admin and operations
- Supportive team with training provided where required
- Opportunity to further develop coordination and operational skills within HVAC
