Office Coordinator

The Role:

  • Manage the reception area and direct all incoming calls to the appropriate team members
  • Co-ordinate all incoming and outgoing mail, and be the first point of contact for deliveries
  • Oversee office maintenance, repairs, and supplies (stationery, kitchen items, etc.)
  • Liaise with cleaning and waste contractors, and manage photocopier servicing
  • Assist with storage/archiving requirements for project teams
  • Process daily office accounts and invoices using Jobpac 
  • Reconcile monthly credit card accounts for managers
  • Provide general support to the NSW Senior Leadership Team including formatting, printing, and binding documents
  • Consolidate monthly Executive and Photo Reports for the NSW GM
  • Assist with social functions, Christmas parties, and business meetings
  • Maintain leave registers and co-ordinate equipment for new starters and leavers
  • Support WHS Manager with training program coordination
Skills & Experience
  • Prior experience in office administration or coordination
  • Experience in general accounts processing
  • Strong communication and organisational skills
  • Ability to manage office maintenance, repairs, and supplies
  • Event planning and coordination experience
  • Proficient in MS Office (Word & Excel)
  • Highly organised with attention to detail and the ability to meet deadlines
  • Independent, proactive, and a natural problem solver
  • Positive “can-do” attitude with a strong work ethic
