The company offer design and construct services to a list of repeat clients delivering modern workplace solutions to the commercial sector and new build hospitality, and commercial projects valued up to $10m

The Opportunity
Perform a variety of administrative tasks and personalised timely support to the CEO to assist in the operation of her work and personal life.
Surry Hills location, full time in the office to support the CEO. 

Supporting the CEO, this role will entail both personal and executive assistant tasks which include but are not limited to:
  • Act as the point of contact between the CEO and employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Screen, categorise and respond to emails
  • Screen and direct phone calls and distribute correspondence
  • Diary management and set up meetings (internal and external)
  • Take minutes during meetings, distribute
  • Make business travel and accommodation arrangements, manage all admin relating to such arrangements (receipts to accounts, bookings in calendar etc)
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Company event planning and coordination
  • Management of technology and associated issues (laptop, iPhone)
  • General admin tasks such as printing, copying, maintaining up to date server documentation
  • Assistance with marketing including coordination of content for social media posts, scheduling photography to capture project milestones, creating event invitations and ongoing communication with various stakeholders (photographers, sponsors, delivery team).
  • Personal ad hoc tasks
Requirements:
  • Experience as an EA, PA 
  • Excellent MS Office/O365 knowledge
  • Outstanding organizational and time management skills
  • Outstanding verbal and written communications skills
  • Ability to multi-task
  • Confidence in communicating with various stakeholders
  • Discretion and confidentiality
  • Australian Drivers Licence
  • Admin or PA Diploma/ Certificate desired but not essential
