Job description

CGC Recruitment are recruiting on behalf of a Tier 3 builder, based in Mascot who have a focus on delivering high-end projects within the hospitality, residential and industrial sectors. 

This role will provide coordination and administrative support to the 2x Managing Directors. The Executive Assistant acts as the point of contact between the executives and internal or external colleagues. This is a friendly and fun culture, a place where people don't take themselves too seriously.

You will be someone who takes pride in their personal presentation, doesn't take themselves too seriously but keep professional, and ideally has worked for a mid-sized construction company in the past.
$110-115k + Super based on experience. 
Full time in the office. 

The Role
Executive Support 
  • Manage assigned calendars for meetings 
  • Create new processes and procedures for the office and ways of working
  • Establish meeting requirements (agenda, materials, hospitality, IT and comms) and set up meeting rooms.
  • Manage incoming and outgoing mail/courier requirements.
  • Actively assist team members with the coordination of internal and external meetings.
  • Train directors on the value of an EA
  • Attend and minute meetings as required.
  • Collaborate with support staff to organise company internal and external events.
  • Coordinate travel arrangements and detailed travel itineraries as required.
  • Maintain databases, registers, schedules as required.
  • Manage correspondence as directed.
  • Prepare presentations, communications, reports and project documentation as requested.
  • Other duties as required.
Experience & Skills 
  • 3-5 years' experience in an Executive Assistant role.
  • Experience managing the requests of managers at various levels of seniority within an organisation and managing the execs to keep them in line with their diaries and appointments.
  • Experience managing general IT requests.
  • Excellent verbal and written communication skills.
  • Meticulous presentation, client focused, and friendly disposition.
  • Excellent time management and organisational skills.
  • Flexible and able to adjust assignments to manage priorities.
  • Proactivity and high levels of initiative are essential to ensuring internal and external stakeholder satisfaction.
  • Advanced level MS office applications (Outlook, Excel, Word, Powerpoint).
Other details:
The role will be full time in the office 8.30am start.
The vacancy is a newly created role.
Parking is all over the area and easy to find.
