Job description

We are looking for an experienced Administration Assistantt to join our client, an NSW State government agency, on a contractual basis.

The Client:
Our client is the leading transport and roads agency for New South Wales. The organisation is responsible for improving the customer experience, planning, program administration, policy, regulation, procuring transport services, infrastructure and freight.

Primary purpose of the role:
The Administration Assistant will provide high-level, efficient administrative and clerical support and contribute towards the effective operation of the business unit.

Key accountabilities:

  • Contribute to achieving effectiveness of senior management by determining and prioritising critical issues, including co-ordination and organisation of meetings and diary maintenance for Deputy Executive Directors.
  • Support the business unit with procurement activities which include purchase order requests, extensions for goods and services, processing invoices for payment in accordance with procurement policies and procedures, and ensure timely delivery of services.
  • Provide word processing services using appropriate software packages to prepare documents such as memoranda, correspondence, briefing notes, reports, procedural manuals and collate key information to support timely provision of deadlines
  • Create, maintain and distribute files and documents in accordance with records management procedures, to enable efficient retrieval of information as required
  • Coordinate change management activities for the business unit, distribute circulars, communication messages and all correspondence including incoming mail to keep managers and staff informed and enable them to respond to necessary matters and changes within required timeframes
  • Providing business unit with support for on-boarding/off-boarding requirement and building inductions
  • Perform the role of Safety Coordinator for the unit, providing safety instructions, ensuring the safety notice board is updated and coordinating safety actions as required

MUST HAVES:
  • Eligibility to work full-time in Australia 
  • The ability to work 40 hours per week, 8 hours per day  
  • MUST NOT HAVE ANY HOLIDAYS PLANNED OR BOOKED WITHIN THE NEXT 3 MONTHS
  • Previous experience in customer service is ESSENTIAL.
  • Must be confident working in a similar role
