Job description

  • $35 + Super p/hr and above based on experience
  • 6-8 month contract
  • Support Project Managers and Engineers
The Company:
Multidisciplinary engineering firm in the CBD seeking mat leave contractor for June - Jan and possible extension. 

What are we looking for?

June start.
Friendly and well-presented individual to provide administrative support to the Project Managers and administration team to assist in the smooth operation of the office including all associated Reception duties.
Monday, Thursday, Fridays core office days. You may work from home the other days.
8:30am-4:30pm

Your key focus areas will be:
  • Reception
  • Project Engineer Support inc Billing/invoicing
  • Bid and Tender Coordination, preparation and collation 
Your role will include:
  • Reception - answering and directing phone calls
  • Meeting and greeting visitors to the office
  • Ensure reception area and conference rooms are tidy and presentable, with all necessary stationery and material
  • Receive, sort and distribute daily mail/deliveries/organise couriers
  • Order office supplies and keep inventory of stock
  • Travel, accommodation and diary management
  • Clerical duties and housekeeping duties
  • Assisting with creation of projects and document control
  • Assisting with fee proposals, formatting documents, specifications and reports
  • Subcontractor documentation management including achieving completion of registration agreement (by sub-contractor) and ensuring Coc’s are received and saved in accordance with OP Process Instructions
  • Invoicing processing, allocating into Synergy
  • Scheduling, allocating and tracking tasks and team member contributions as part of managing the Tenders Work in Progress Calendar
  • Compiling and formatting high-quality EOIs, capability statements, proposals and presentations following brand guidelines
  • Reviewing RFP requirements and cross-checking proposals to ensure compliance
  • Liaising with internal stakeholders to obtain required information
  • Proofreading final proposal documents and organising tender submissions
  • Providing administration support to the wider office when necessary
Skills and experience required:
  • Previous Administration Experience
  • Strong time management skills and ability to prioritise work
  • Intermediate knowledge of Microsoft Office Suite
  • Excellent organisational skills and the ability to multi-task
  • High attention to detail and problem-solving skills
  • Excellent verbal and written communication skills
  • Maven Link or Synergy desirable
